For general dental practices

You have already diagnosed the work. Nobody is following up on it.

A Monday-morning system for working your unscheduled treatment list: one workbook, one written cadence, and the scripts your team says out loud. No software to install, nothing to integrate with your practice management system.

One-time purchase · Downloadable files · No software to install · Works alongside whatever you already run

The situation

What is actually happening

  • Treatment gets presented, the patient says "let me think about it", and it is never touched again.
  • Nobody owns the list. Everyone assumes the front desk is calling. The front desk is answering the phone.
  • There is no record of who was called, when, what they said, or when to call back.
  • The report exists in your practice management system. It has never been worked line by line.

After

What changes

  • One tracker with a next-contact date on every line, so nothing goes quiet by accident.
  • A written five-touch cadence a new team member can run without being trained.
  • Nine scripts for phone, voicemail, text and email — including what to say to the three objections you actually hear.
  • A dashboard that shows dormant dollars, contacted dollars and scheduled dollars, updating from the tracker.
Run your own unscheduled treatment report and look at the dollar total at the bottom. That number is what this system is built to work. We do not publish a recovery percentage, because we have not audited your practice. The workbook computes your figures from your inputs, not from an industry statistic.

The workbook you will live in

One tab holds the list. Three formula columns decide what happens today: when to make contact next, whether that date has arrived, and which rows are worth the most.

What your team says out loud

Scripts for phone, voicemail, text and email, plus the objections that actually come up. Each one explains why it is written the way it is, because a script you do not understand is a script that gets abandoned in week two.

phone · Any attempt

Objection — "I can't afford it right now"

That's a completely fair thing to say, and I'd rather you tell me than just not come in.

Can I ask — is it the total that's the problem, or is it the timing of the total? Because those have different answers.

[If timing:] We have [FINANCING OPTION]. That would put this at roughly [MONTHLY ESTIMATE] a month instead of all at once. Would that change the picture?

[If total:] Let me talk to [DOCTOR NAME] about whether there's a way to phase this — treat the part that's actively getting worse now, and plan the rest. I'll call you back [CALLBACK DAY] either way.

Why it is written this way: "Is it the total or the timing?" is the highest-value question in this whole library. It splits a dead end into two solvable problems. Always give a callback commitment and then keep it.

One script from the library, shortened. The full pack has 9.

Fit

Who this is for, and who it is not for

A good fit if

  • You can export a unscheduled / treatment plan report and nobody works it systematically.
  • You can name one person who will own the list and give them protected time.
  • You would rather run a written process than migrate to new software.
  • You want the money you have already earned before you spend anything on getting new business.

Not a good fit if

  • You already run a disciplined cadence with logged attempts and a weekly report-out.
  • Nobody can be given the time, in which case no system works and this one will not either.
  • You want software that does the calling for you. This is a process and a workbook — people still make the contacts.
  • You want a guaranteed dollar outcome. We will not give you one.

Most practical

Customised System

Built around your practice, your software and your team.

$299one time

The same system, pre-configured with your practice name, your practice management system, your named owners, your fee ranges and your cadence — so there is nothing to adapt.

  • Everything in the Starter System
  • Workbook branded to your practice, with your team members named as step owners
  • Report-pull instructions written for your specific practice management system only — no irrelevant steps
  • Scripts rewritten with your practice name, your doctor's name, your scheduling language and your financing option
  • Cadence tuned to your call capacity and how many days per week you can work the list
  • Priority thresholds set from your actual average case value, not a generic number
  • +2 more — see everything
Full details

Intake takes about 6 minutes. Your build is generated immediately after.

Multi-Location System

Roll it out across every location and see all of them in one view.

$799one time

Each location gets its own configured workbook, and ownership gets one master dashboard that compares dormant, contacted and scheduled dollars across every location.

  • A separately configured workbook for each location, named and owned
  • Master Dashboard workbook that consolidates every location side by side
  • Per-location targets and a group roll-up
  • Standardised cadence so every location runs the same play
  • Regional rollout guide: launch sequence, who trains whom, what to check in week 1, 4 and 12
  • Accountability pack: weekly location report-out format and the four numbers to ask for
  • +2 more — see everything
Full details

Intake takes about 10 minutes. Every location workbook is generated at once.

14-day refund policy on every tier. Read it here — it is short and there is nothing buried in it.

Handling your data

Where your information goes

This workbook holds patient names and treatment values, which makes it PHI. Keep it on practice-controlled storage, not a personal drive or a personal email account. The Quick Start includes a one-page handling checklist covering access control, the shared-drive question, and what to do when a team member leaves.

To be exact about it: the workbook is generated and downloaded by you. Nothing you type into it is transmitted anywhere, and we never receive it.

Questions

Before you buy

Is this software?

No. It is a spreadsheet workbook, a written SOP and a script library, delivered as a zip file. There is nothing to install, no login, no subscription, and no integration with your practice management system. You paste your own report into it.

Does it connect to Dentrix or Open Dental?

No, and deliberately not. Integration is what makes the alternatives expensive and slow to adopt. You export the report you already have and paste it in. That takes about two minutes and it works with every practice management system.

Will it work in Google Sheets?

Yes. The workbook is .xlsx and imports into Google Sheets with formulas and dropdowns intact. It is built and tested in Excel; if you use Sheets, upload it and open with Google Sheets.

This holds patient names. What about HIPAA?

The workbook is PHI once you put patient data in it, exactly like the report you exported it from. It ships with a one-page handling checklist: keep it on practice-controlled storage, restrict access to the people working the list, and remove access when someone leaves. We never receive your patient data — the workbook is generated and downloaded by you, and nothing you type into it comes back to us.

How is the customised version different?

Same system, configured instead of adapted. Your practice name and doctor's name in the scripts, your practice management system's report steps only, your named owners on the SOP steps, priority thresholds set from your average case value, and the cadence tuned to how many sessions a week you can actually staff. It removes the setup work, which is the reason most template purchases never get used.

How fast do I get it?

The Starter System downloads immediately after checkout. The customised and multi-location tiers send you to a short intake form; your build is generated as soon as you submit it, usually in a few seconds, and the download link is on the screen and in your email.

What if my team does not use it?

That is the real risk, and it is why the SOP insists on one named owner and calendar-blocked sessions rather than good intentions. If those two things do not happen, no system works — this one included. The Monday four-number report-out exists to make the drop-off visible in week one instead of month three.

Do you guarantee a recovery amount?

No. Anyone who guarantees you a dollar figure without having seen your list is guessing. The calculator computes projections from numbers you enter yourself, and you can set them as conservatively as you like.

What is the refund policy?

14 days. Because these are downloadable files, we ask you to tell us what did not work — not to justify yourself, but because that is the only way the product improves. Full policy on the refunds page.
